LMS/Training Admin Setup

Management Tab

The Management tab has several options for set up inside of it:
  1. System Settings
  2. User Settings
  3. Validator Settings
  4. Group Settings
  5. Certifications
  6. Reports Alert
  7. Templates
  8. Question Bank  
System Settings- Basic Setup for how the Training Module with be organized and flow for the
department. (Red Box)

  1. Categories- Ability to categorize Activity or Training topics by name/color and also break them down further into a Sub-Category.
  2. Instructors- Ability to track/add Instructors who teach training for your department.
  3. Locations- Ability to track/add Locations where the training took place.
  4. Equipment- Ability to track/add Equipment used during training.
  5. Dynamic Fields- Ability to create custom fields to track custom data for the department in training.
  6. Tags- Ability to track/add Tags or Hashtags to training for organization.



User Settings- Ability to see users in Training and assign them a Training permission profile. (Yellow
and Red Boxes)


Validator Settings- Ability to add Validators/QC users into training. (Yellow Box)
  1. The department can set up that none, some, or all of the Activities/Assignments have to be Validated before the training hours are completed.
  2. To set this up first we must add a Validator using the Add Validator button (Red Box) Now we will add users that person can validate the training activities/assignments by adding all users or clicking the + button next to an individual user. (Blue and Green Box)


Ability to create Groups and assign users to those groups for organizing, assigning events, and tracking
hours by group.
  1. To set this up first we must add a Group using the Add Group button (Red Box)
  2. Now we will add users to that Group by adding all users or clicking the + button next to an individual user. (Blue and Green Box)
  3. The same User can be in multiple groups at the same time.


Certifications- Ability to create Certifications for your department and organize them by Category and
Sub Category. (Red Box)
  1. Ability to add Subjects to the certification with the options to give hours, any overflow to a different subject, a max overflow hour, and Content from Templates created in the system.
  2. If the Subject is only used for facility training there is a button to select Facility. (Green Box)


  1. Once a certification is added you can set more settings for that individual certification. (Green Box)
    1. Is ISO
    2. Credentials
    3. Does Not Expire
  2. ∙Ability to make a certification Active or Not Active by clicking the active button. (Red Box)
  3. ∙Ability to set up automatic renewal and also a monthly cycle. (Blue Box)



Report Alerts- Ability to set up 4 different Training reports.
  1. Certifications expiring in 30 days or less
  2. Staff activities and assignments and courses completed in the past 30 days
  3. Staff activities and assignments and courses completed in the past week
  4. Staff activities and assignments and courses not completed
Once a report is selected you may schedule it to send to one or more emails on a certain day and also
how often it sends the report.




Templates:
  1. Activity Templates- Ability to create/edit/archive templates related to activities completed during the daily operations of the department.
  2. Assignment Templates- Ability to create/edit/archive templates related to assignments completed as training at the department.
  3. Course Templates- Ability to create/edit/archive templates related to courses completed in the department.
To add a Template, you will select either Activity/Assignment/Course and click the add button in the top right corner. (Red Box)

You will have information to enter for that template pertaining to:
  1. Template Title
  2. Category
  3. Sub Category
  4. Related Certifications
  5. Supervisor Validation
  6. Digital Signature
  7. Activity Credit
  8. Learning Objectives
  9. Equipment Used
  10. Public Education Type (If an Activity Template)
  11. Activity Media
  12. Elevated Permission Only
  13. Self-Registration
  14. Add to Calendar
  15. Alert Staff Completion
  16. Certificate Template
  17. Limit Registration
  18. Ability to add resources (PowerPoint/links/files) to this Template
  19. Add certification option.






  1. Once a template is saved it is locked. Only a user with permission can go back in and edit the already- created template.
  2. If a template is created in the wrong location meaning an activity template in assignment you can switch them back by clicking the switch content button on the main template page. (Green Box)
  3. If the Assignment has a test you will see if highlighted in Red. If you need to add a test you can add one using the question bank by clicking on the test icon. (Orange Box)
  4. If you need to edit an already made template you can select the pencil to edit that template. (Red Box)



Question Bank:
  1. Ability to create and manage test questions and answers
  2. Can organize Questions by Category and Sub Category (Red Box)
  3. Can use Multiple Choice or True False for each question (Green Box)
  4. The question goes in the Question Box when adding a question. (Yellow Box)


  1. Once the test is created you can add it from the Template in the Template section in Management. (Orange Box)


  1. Once you click create a test a page will popup with options for adding the test questions. Inside of this page will have options for:
    1. Randomization of questions and answers (Red Box)
    2. After completion showing correct answers/given answers (Blue Box)
    3. Ability to review after the first attempt (Blue Box)
    4. Show score (Blue Box)
    5. Require passing score (Blue Box)
    6. Number of Attempts (Blue Box)


Admin Center

  1. Ability for an admin to track activities, assignment, courses, and certifications for the department.
  2. Ability for an admin to track an individual user training hours/ progress from User Admin.
  3. Ability for an admin to view progress of an individual activity or assignment.
  4. Ability to track staff completion in an activity, assignment, course, or certification.
  5. Ability to validate events entered into the Training module. (if the template was set for supervisor validation)
  6. Ability to add users to a certification and set the start and expiration date of their certification.
This page will allow you to view a individual Activity and Track user progress.



This page will allow you to view an individual Assignment and Track user progress.
  1. (Red Box) Shows a locked SCORM Test/ This Assignment has a test.
  2. (Orange Box) Shows a pencil where you can edit the assignment and the users on it.
  3. (Blue Box) Allows you to open the Payroll information for this Assignment.
  4. (Yellow Box) Allows you to view the test stats for this Assignment.
  5. (Green Box) Allows you to view the Users assigned to the Assignment and the progress



This page will allow you to view an individual Course and Track user progress.



This page will allow you to view an individual Certification and Track user progress.
  1. (Blue Box) First click on search by the year you want to see the certifications on.
  2. (Yellow Box) Ability to add a user to the Certification.
  3. (Red Box) Ability to enter credential numbers for that user’s certification.
  4. (Orange Box) Ability to attach a document to user’s certification.
  5. (Green Box) Ability to extend due date for user’s certification.



This page allows you the ability to view a individual User’s records in training.



This page allows you to view Activities/Assignments/Courses that need to be validated.
  1. (Green Box) Click on the event title to view the details on the event.
  2. (Orange Box) The details of the event you clicked on.
  3. (Red Box) Validate button once the event has been checked.
