LMS Permissions/Required Fields

Lesson Objectives.

The learner will understand and can accomplish these tasks at the end of the lesson:
1. Be able to Understand the location of LMS permissions in the Admin Backoffice
2. Be able to Understand the permissions available for LMS.
3. Be able to Understand LMS training validation rules in Admin Backoffice.


Objective 1- Be able to Understand the location of LMS permissions in the Admin Backoffice.

• To start with locating the LMS permissions section we will first click to access the Admin Backoffice through the “my profile” section in Fireworks.
• Once the Admin Backoffice is loaded you will select “Management”, “Staff Settings”, and then either “Users and Permissions” or “User Profiles

     That decision will depend on whether we are changing a single user’s LMS permissions or a whole group by a user profile.


 To access the permissions section click on the user or profile that you are trying to work on.
 You will then under permissions go to the additional modules section where you will find a “Training” section for permissions. (Yellow Box)
  1. Training- Gives you the ability for the user or profile to have the ability to see the training module.
  2. Data Update- Ability to update and add data in the training module.
  3. No Authorization- Will hide the training module for the user or profile.
  4. Training Profile- Ability to choose from pre-built out profiles or create your own training profiles for the department.
  5.  The 4 pre-built out profiles are as follows:
    1.  Learner- Ability to see and only input data into training they have been assigned to.
    2.  Trainer- Ability to assign training in the LMS module.
    3.  Admin Trainer- Ability to assign training and have access to the admin center in the LMS module.
    4.  Super User- This will be the System admin permission level in the LMS module.


• The Department can create their own profiles by doubling clicking the “Training Profile” box. This will pull up a page to change any permissions for a pre-built profile or allow them to create a new custom profile. (Yellow Box)



Objective 2- Be able to Understand the permissions available in LMS.

• Once you choose to use the pre-built out profiles or create your own custom profile you will have a list of permissions that you can select for the profile.
• By clicking the box under the column value will check the box giving the profile the permission for that setting.
• Each setting as you will see goes with a section in the end user LMS side.
  1. Management
  2. Library
  3. User Center
  4. Admin center
  5. Today
  6. Calendar
• You can also give a user or profile the ability to add activities, assignments, and courses. If you do not give them the ability they will be able to see where to add them, but not have access to it.
Once you have selected all the permissions you want for the user or profile click the save button at the top.
The changes to the existing or new profile will be available in the dropdown to now choose.

Objective 3- Be able to Understand Training Custom Validation Rules

• Training custom validation rules are used to set what is required by the department for tracking training in the LMS system. This is used when a user enters an activity or assignment in the system to make sure certain fields are being entered. This works like the Incident required fields section.
• To find the Custom Training Validation Rules you will need to be in Admin Backoffice under the management, general and then custom training validation rules.




• To create a new rule you will select the new rule button.
• You will give the rule the following information:
o Name
o Action
  1.  Warning- will pop up to let them know to fill it out but they can ignore
  2.  Error- Must be filled out before being able to complete the entry
o Subject- The reason behind the rules or the instructions
o Sub criteria/field- allows you to select the field where the information needs to go
  1.  Operator- Ability to set a greater than, less then, equals to, contain, or does not contain settings.
  2.  Value- What information the system is looking for to assign the rules to the activity or assignment.
  3.  Condition- And/or if need to add more sub criteria.
